How to Make a Reservation
What you'll need to know when you call. If you have not reserved before, please review this section before you call. It'll save you a lot of bother.

Cancelling a Reservation
How to cancel a reservation you've already made. Failure to cancel will result in charge, regardless of whether you used a room or not.

Clean-up After Use
Your responsibilities for cleaning up after using a room. You may incur additional fees if you fail to cleanup adequately.

Seating Arrangements
Sketches of available seating arrangements. To have a setup ready when you use a room, you must specify the arrangement you need when you make the reservation, and at least one week in advance.

Reservation Instructions

Conference rooms may be scheduled only by State agencies for State business, employee meetings or training, or public meetings concerning governmental topics. They may not be reserved for private use, or for profit or non-profit events or sales.

Conference room scheduling is coordinated through the Division of Public Works at 208.332.1900 (with the exception of the Gold Room, which is coordinated by Public Works only when the Legislature is not in session; during session, contact the office of the Speaker of the House at 208.332.1111) . When calling to schedule a conference room, be prepared to provide the following information:

Billing Information

Room fees are billed to the agency making the reservation; only State agencies may reserve and use a room. To view actual charges associated with a particular room, please refer to the overview chart.

Half-day rates will be charged for reservation of less than 4 hours. Reservations of 4 hours or over will be charged the full-day rate. Weekends and holidays, if approved, will be charged the full-day rate.

Cancel a Reservation

If you need to cancel a reservation you have made, call Public Works at 208.332.1900. If you cancel at least 24 hours prior to your event's scheduled start time, you will not be charged for the room.

Clean-up After Use

Users of all rooms are expected to leave rooms in the condition they were in before use. A room that is not properly cleaned after use may result in an additional fee being applied to the room reservation charges.

Chair and Table Policy

Chairs and tables in conference rooms are provided for use in those rooms only, and are not available for transport or use elsewhere. If you need chairs, tables, or other furnishings for your event, please consider alternative arrangements.

The following sketches represent four typical seating arrangements for conference rooms. Before you call to make your reservation, decide which style you would like. If you require a custom setup, please sketch the design and be prepared to fax it after you have made your reservation.  You are also free to handle your out setups.

Rectangles represent tables, and U's represents chairs.  The front of the room is at the top of each sketch.   These sketches are merely representations, and they do not indicate the actual number of tables and chairs that may be set up in a particular room.
